Front Desk Representative Job Description: The Front Desk Representative is responsible for the day-to-day assistance to all of our Caregivers by being the point of contact for visitors to the office. They serve as a liaison between the agency and the Caregivers, communicating the Caregivers' needs and requests, ensuring that they are represented and supported. Greet and welcome Caregivers to the office Answer incoming phone calls and direct parties to the appropriate department Assist Caregivers with questions related to payroll, PTO, cases, etc. Collect and upload documents into our electronic system Maintain personnel records and ensure accurate data entry in appropriate systems Assist with HHAeXchange app and IVV/EVR training Support caregiver applications and training classes as needed Conduct thorough caregiver interviews to ensure candidates meet True Care standards Guide caregivers in submitting required paperwork and medical documentation, both in-person and via phone Assist with translating for applicants and help with the digital applications for those who need it Review all medical and I-9 paperwork submitted is acceptable Assist with scheduling medical appointments for those who are authorized and in need of tests to be performed to complete their paperwork Upload all required documentation and maintain detailed notes in the network drive, Acuity, HubSpot, and HHAeXchange Audit all completed application profiles prior to orientation for compliance accuracy Conduct reference verification calls as needed Assist with scheduling orientation and in-service as needed Maintain HIPAA compliance and regulations Maintain accurate onboarding records in Hubspot and paper files. Ensure all onboarding forms and required documentation are completed, signed, and stored in compliance with company policies and regulatory requirements. Fluency in Spanish is required HS graduate/ GED equivalent Experience in HHAeXchange is a plus Prior experience in HR preferred/knowledge of DOH and DOL HHA employment requirements a plus Excellent communication and interpersonal skills Accuracy and attention to detail, outgoing, positive personality, team player Benefits: Health, dental, and vision insurance 401(k) with company match PTO and paid holidays Professional development opportunities Mission-driven work in an innovative healthcare space
