<p>Job Summary<br />Billing Specialist responsible for coordinating monthly billing cycle, including issuing accurate invoices for an assigned number of attorneys while meeting deadlines.<br /><br />Responsibilities<br /><br />Initiate and implement all aspects of the monthly client billing process, including:<br /><br />Review and edit monthly proformas via Paperless Proforma<br /><br />Modify time and cost entries, write off and write down entries, complete transfers, divide, and combine timecards<br /><br />Ensure rates are accurate and apply available funds to billing as instructed<br /><br />Verify accuracy of billing<br /><br />Compile supporting documentation per client billing guidelines<br /><br />Acquire and maintain proper approval documentation<br /><br />Finalize and distribute invoices according to Firm and Client guidelines<br /><br />Research and respond to billing inquiries from attorneys and clients in a timely, professional manner<br /><br />Submit invoices by mail, email, e‑billing via eBillingHub and other e‑billing vendors<br /><br />Set up matters for e‑billing on vendor sites and within the firm’s billing system<br /><br />Address and resolve billing disputes and discrepancies in a timely manner<br /><br />Coordinate appeals for rejected invoices<br /><br />Internal/External Customer Service:<br /><br />Provide client accruals, status updates, and budgets upon request<br /><br />Communicate with attorneys, clients, or staff to address billing questions as needed<br /><br />Maintain contact with attorneys, staff, and clients while observing confidentiality<br /><br />Answer questions regarding billing processes and procedures<br /><br />Collaborate with other departments (Accounts Receivable, client and matter setup, rate management, trust accounting, unallocated funds, and billed on account funds)<br /><br />Other related duties include:<br /><br />Maintain addresses, invoice templates, and e‑billing information within the firm’s billing system<br /><br />Assist with customized reporting requirements for internal or external clients<br /><br />Effectively prioritize numerous tasks and meet designated deadlines<br /><br />Manage monthly reports surrounding billing workload<br /><br />Other duties as assigned<br /><br />Qualifications<br /><br />Associate’s degree or equivalent education and work experience; Bachelor’s degree preferred<br /><br />2+ years of legal billing and client invoicing experience<br /><br />Knowledge or prior use of Elite 3E<br /><br />Knowledge of electronic billing processes and procedures<br /><br />Experience with eBillingHub preferred<br /><br />Experience with third‑party e‑billing vendors (Legal Tracker, TyMetrix 360, CounselLink, etc.)<br /><br />Knowledge of Paperless Proforma preferred<br /><br />Proficiency with Microsoft Office, especially Excel and Word<br /><br />Strong organizational and time‑management skills<br /><br />Strong attention to detail and accuracy<br /><br />Problem‑solving skills and ability to manage multiple priorities<br /><br />Excellent communication skills, both written and verbal, and strong interpersonal skills<br /><br />Flexibility to work overtime and weekends if needed<br /><br />Compensation and Benefits<br />Employees are entitled to compensation commensurate with skill and experience. Compensation varies by skills, experience, location, and other factors permitted by law.<br /><br />State of California: $56,000 - $114,000<br /><br />State of Colorado: $52,000 - $92,000<br /><br />State of Illinois: $51,000 - $98,000<br /><br />State of Massachusetts: $56,000 - $107,000<br /><br />State of Maryland: $54,000 - $82,000<br /><br />State of Minnesota: $56,000 - $93,000<br /><br />Jersey City, NJ: $61,000 - $110,000<br /><br />State of New York: $52,000 - $113,000<br /><br />State of Vermont: $55,000 - $106,000<br /><br />State of Washington: $54,000 - $103,000<br /><br />Washington, D.C.: $72,000 - $106,000<br /><br />The above salaries do not include discretionary bonuses.
