POSITION SUMMARY<br /><br />We are seeking a detail-oriented and intellectually curious IT Business Operations Coordinator to join our IT department. This junior-level role is central to supporting the team's purchasing activities, managing vendor agreements, supporting administrative activities and helping coordinate key team events. The ideal candidate brings a proactive mindset, a passion for leveraging AI tools in their day-to-day work, and the drive to broaden skills to that of an IT operational partner.<br />PRIMARY RESPONSIBILITIES<br /><br />Procurement & Purchasing (Coupa)<br /><br />Coordinate end-to-end purchasing activities within the Coupa platform, including requisitions, purchase orders, and invoice approvals<br />Coordinate with internal stakeholders to gather purchasing requirements and ensure timely order fulfillment<br />Interact with Flagship’s central administrative functions for vendor onboarding, catalog management, and supplier communication<br />Identify opportunities to streamline and improve purchasing workflows using AI<br />Legal & Contract Tracking<br /><br />Track the lifecycle of IT vendor agreements, NDAs, MSAs, SOWs, and renewals in support of the Procurement function<br />Leverage AI and FSPs CMS to manage renewals, reclaim unused licenses and ensure data integrity vis a vis contract status, expiration dates, and key terms<br />Coordinate with legal and business stakeholders to facilitate timely review and execution of agreements<br />Organize periodic business reviews with key vendor partners<br />AI-Enabled Operations<br /><br />Actively use AI tools to enhance productivity, draft communications, summarize documents, and improve processes<br />Stay current on AI capabilities relevant to IT operations and propose new ways to incorporate them into daily workflows<br />Help develop AI-assisted templates and automations for recurring administrative tasks<br />Team & Event Support<br /><br />Help build agendas for monthly IT team meetings and annual offsite events<br />Coordinate logistics for team gatherings including scheduling, venue research, and material preparation<br />Serve as a resourceful point of contact for IT department administrative needs<br />QUALIFICATIONS<br /><br />Required<br /><br />Bachelor's degree or equivalent practical experience in Business, IT, Operations, or a related field<br />Strong organizational skills with exceptional attention to detail<br />Demonstrated ability to manage multiple priorities and follow through persistently to completion<br />Proficiency with Microsoft Office and collaboration software platforms<br />Clear and professional written and verbal communication skills<br />Preferred<br /><br />Familiarity with Coupa or other procure-to-pay platforms<br />Exposure to contract management concepts or legal agreement workflows<br />Hands-on experience using AI tools (e.g., Claude, ChatGPT, Copilot) in a professional setting<br />Interest in IT functions including infrastructure, security, software licensing, or vendor management<br />WHAT WE'RE LOOKING FOR<br /><br />Beyond the technical qualifications, we are looking for someone who embodies the following traits:<br />GROWTH OPPORTUNITIES<br /><br />Take on expanded ownership within the Coupa platform and broader IT sourcing activities<br />Deepen your understanding of the business side across all IT functions — from infrastructure to security to software management<br />Lead AI adoption initiatives within the IT department<br />Role can serve as a path into a more senior role within other IT functions: Enterprise Applications, Project and Portfolio Management, Service Desk, IT Security<br />Equal Opportunity Employer<br /><br />We are an equal opportunity employer.
